Terms and Conditions

Studio Hire

The terms and conditions below will apply to any and all studio hire bookings made at Yoga at The Grange.

BOOKING REQUEST REVIEW

All requests for studio hire will be reviewed by Yoga at The Grange before approval to ensure that they are for activities appropriate to the studio. You will asked to provide documentary evidence that you are qualified and insured to lead the activity that you are making the booking for, and that you have a written safeguarding policy (where appropriate).

Yoga at The Grange reserve the right to refuse any application for studio hire at their sole discretion.

INSTRUCTIONS IN WRITING

All bookings, amendments, special equipment and other instructions must be confirmed in writing.

TIMES OF HIRE

The hours of hire are those booked via our website or agreed via email and confirmed in writing. These hours must include your set up and pack up time. You must ensure that you book sufficient time to enable you to have cleaned (where appropriate), tidied and exited the studio by the end of your booked time. A minimum of 15 minutes must be added either side of the start and end time of your event, as detailed on the Studio Hire page, to allow for this (unless otherwise agreed in writing).

PARTICIPANTS

There is a limit of 20 participants allowed in a class/workshop unless otherwise agreed.

PAYMENT TERMS

If payment is not made directly at the time of booking, it must be cleared prior to the hire taking place. Bookings are not held in the calendar and will only be confirmed once payment has been received.

ROLLING BOOKINGS FOR RECURRING CLASSES AND EVENTS

Payment is via invoice, which will be issued electronically.

A link to pay the invoice online will be sent via email.

Prior to issuing the invoice, you will be asked to confirm via email which dates you will be teaching in the upcoming month.

Invoice emails will be sent out a week before the end of the month, with payment due by the end of the month (e.g. for classes scheduled for June, an invoice will be sent on 23rd May, due on 30th May).

The studio management reserve the right to terminate a rolling booking arrangement. A minimum of one months notice will be given.

CANCELLATIONS

  • If you wish to cancel your event 1 month or more from the start date of your event, you can receive a full refund or full amount can be re-applied to a future booking. Cancellation must be requested in writing by email to ellie@yogaatthegrange.co.uk

  • If you cancel less than 1 month from the start date of your event, you can only reschedule your booking to a future date, no refund will be offered.

  • If you cancel less than 1 week from the event, this cannot be rescheduled or refunded.

  • For rolling bookings for weekly classes and events, if you wish to cancel your rolling hire, one months notice must be given.

  • For rolling bookings for weekly classes and events, if you choose not to teach on one of the dates for which you have been invoiced for:​​​​

    • If at least 7 days notice of cancellation is given, then the cost of that session will be deducted from the next month's invoice

    • If less than 7 days notice of cancellation is given, cost deduction of the session from the next month's invoice may be issued in cases of sickness, injury or any other force majeure reason, at the sole discretion of Yoga at The Grange.

    • If less than 3h notice of cancellation is given, no cost deduction, refund or transfer of booking will be offered.

INDUCTION

If this is the first time you’ve hired Yoga at The Grange you may need an induction before your hire as there are some times when there are no staff present. You will need to organise this with Ellie before your hire or your booking may be cancelled in line with the policy outlined above.

FIRE HAZARDS

Due to sensitive fire alarms naked flames, candles, smudges, charcoal burners, etc. are not allowed. Incense sticks may be burned provided that a suitable fireproof holder is used.

INDEMNITY and DAMAGES

  1. The Hirer agrees to be responsible for any damage to the studio or its contents during their hire, including any damage caused to the passages, waiting area or other common areas by themselves or their participants and shall pay to Yoga at The Grange on demand all amounts expended by Yoga at The Grange in making good such damage.

  2. The Hirer agrees to accept full responsibility for, and to indemnify Yoga at The Grange against, all claims in respect of all loss or damage howsoever caused to themselves or their participants during the hiring period.

  3. The Hirer agrees to accept full responsibility for, and to indemnify Yoga at The Grange against, all claims in respect of injury, trauma and/or other forms of harm caused by, or as a result of, activities undertaken by the Hirer while using the studio and will adequately insure themselves against such risks.

  4. Yoga at The Grange shall not be responsible for any loss due to the breakdown of machinery, failure of supply of electricity, leakage of water, fire, government restriction or act of God, which may cause the studio or room to be temporarily closed, or the hiring to be interrupted or cancelled and the Hirer shall indemnify Yoga at The Grange against any claims that may be made in respect of such loss, damage or injury.

  5. Yoga at The Grange shall not be responsible for any loss or damage to any vehicle or property in the car park. The car park is unstaffed and use is at the risk of the hirer and their attendees.

  6. No banners, bills or posters may be affixed to any walls or fabric of the building without Yoga at The Grange’s permission and no bolts, tacks, screws or like objects shall be driven into any part of the building.

  7. All property that has been brought into the building by the Hirer or any persons on his/her behalf for the purpose of, or in connection with, the hiring must be removed immediately after the hiring by the Hirer. Yoga at The Grange may remove or store any property left behind. The Hirer shall be responsible for removal or storage of said property. Yoga at The Grange or its agents shall not be held responsible under any circumstances for damage to, theft of, or removal of the property whilst under storage or removal.

  8. The Hirer at the expiration of the period of hiring shall leave the studio, together with the access thereto, in a clean and orderly state, replacing all equipment where they were found. The Hirer agrees to pay a fee of £20 on each occasion where the studio is not left tidy with all chairs and equipment put back in their proper places.

  9. If instructions/keys have been given for locking up the studio after use, the Hirer accepts responsibility for ensuring that all doors and windows are properly closed, locked and secure and that all lights, air conditioning units and additional heaters have been turned off.

  10. If no reception staff are present, the Hirer may be required to open up or lock the studio. Whilst in the building, it is responsibility of the Hirer to keep the front door locked and to ensure that this remains so for the duration of their time in the studio.

USE OF THE BUILDING

  1. No exits may be blocked, chairs or other obstructions placed in corridors, or fire appliances removed or tampered with.

  2. No additional lights or extensions from light fittings shall be used without the previous consent of Yoga at The Grange.

  3. No part of any room or studio shall be used for the sale of goods unless agreed by Yoga at The Grange in writing.

MAINTENANCE and ORDER

  1. The Hirer accepts responsibility for, and agrees to, maintain good order during the period of occupation.

  2. Yoga at The Grange reserves the right to end any event not properly conducted.

  3. A right of entry to the room or studio is reserved by Yoga at The Grange or its agents at all times.

Classes, Courses, Workshops and Events booked directly through Yoga at The Grange

PLEASE NOTE: 

If you are attending a class or event with a teacher or other facilitator who is hiring Yoga at The Grange as a venue, please refer to their booking policies and Terms and Conditions and contact the them directly. Yoga at The Grange is not responsible for and cannot issue refunds or handle complaints related to classes, workshops, courses or events that are not directly run by the studio. The remainder of this page relates solely to bookings for classes, workshops, courses and events booked directly with Yoga at The Grange.

BOOKING YOUR CLASS​​​​

  1. All attendees must book their space in class in advance via the website. 

    1. This applies to students paying per class or using class pack or membership plan credits - all attendance must be pre-booked​

  2. Bookings via email, social media, text, or telephone call will not be accepted.

  3. Drop in students are not accepted - drop ins are defined as someone turning up to class without a booking. Space in all classes is limited to ensure quality and adequate space for all students.

PAYMENT​​

  1. Payment for classes, 1:1s and workshops/retreats is required at the point of booking via debit or credit card through Stripe, Wix Payments or PayPal, our payment providers.

  2. Cash is not accepted.

  3. In some instances, payment may be arranged via an invoice.

    1. Invoices are due for payment on the date stated on the invoice.

    2. If payment is not received by the due date, Yoga at The Grange reserves the right to cancel the service in line with the Cancellation Policy. 


LATENESS & CLASS TIMES

  1. All classes start and finish at the advertised time.

  2. Lateness is defined as "arriving at or after the designated class start time".

  3. Students are expected to arrive at least 5 minutes in advance of the class start time. This is so class can start and finish as advertised, in accordance with class conduct guidelines.  

  4. New students attending their first class are required to arrive 10 minutes in advance of the class start time. This is so the teacher can make you comfortable, chat through anything relevant on Class Registration Forms, and answer any questions.

  5. The doors of all venues will be closed at the start of class for health and safety reasons.

    1. If a student arrives to class, and finds the door closed they have missed the start of class.

    2. If a student misses the start of class they will not be granted admittance to class.

    3. Late students will not be granted admittance to class.

    4. This is for the health and safety of the whole class, including the late student.

    5. Lateness will be treated as a late cancellation and will be chargeable.


CLASS (CLASSES, SPECIAL CLASSES, WORKSHOPS, COURSES, EVENTS) CANCELLATION (INC. REFUNDS & NO SHOWS) & TRANSFER POLICY

 

All clients agree to pay the advertised fee in full when a purchase is made.​


Cash refunds for purchases of Classes, Workshops, Courses & Events are not available. These events are for set dates and times, and you are not entitled to a refund in accordance with your statutory rights. You will be made aware of this policy prior to purchase by opting in and agreeing to these Terms at point of purchase, and in your confirmation email. ​​​

Should you consider that you have grounds to obtain a refund which are not set out above you should email ellie@yogaatthegrange.co.uk to set out your refund request.

Transfers of credit are available in specific circumstances for certain products:

  • Classes and workshops: When cancellations are made inside the Cancellation Window as outlined below and space is available in an equivalent class or workshop.

All students must reschedule or cancel their spaces in class if they are no longer able to attend either via their account or via email.

 

Cancellation Windows are defined as:

  • Scheduled Group Classes: 24 hours prior to the start of class

  • ​1:1s and Corporate events: 48 hours prior to appointment start time

  • Workshops & Courses: Are excluded from this policy in line with your statutory rights​

Outside the cancellation window students must notify Ellie via email that they are not able to attend their booked session. No refund or transfer offer will be made.

All classes require a minimum number of 2 students to run. 


Ellie reserves to cancel the session at any point but will endeavour to do so with as much notice as is practical and encourages anyone who wishes to attend a class to book as soon as possible. Any student booked will be offered a transfer to a future session or if no suitable session exists, reimbursed.
 
If for any reason Ellie needs to cancel a class due to sickness, injury or any other force majeure reason, booked students will be contacted as soon as possible via email and/or phone. Any student will be offered a transfer to a future session or if no suitable session exists, reimbursed.

"No Show" is defined as a student having a booked space in class and then not attending their booked class. No shows are treated as a late cancellation and no refunds or offers to transfer credit will be made. 
 
CLASS CONDUCT


Yoga at The Grange's sessions are a supportive, inclusive environment - all students and teachers have the right to a safe space to practice and work in, and abuse of that safe space will not be tolerated. We have some ground rules to ensure everyone gets the most enjoyment out of their classes.

 
Any students in breach of these guidelines will no longer be welcome in class.

 

Students must treat other students with respect and courtesy - being mindful of those who want silence and quiet, keeping disruption to a minimum, arriving in a timely manner and speaking to other students how they wish to be spoken to themselves. This includes cancelling bookings so others can take your place.

Students must treat teachers with respect and courtesy - being respectful of the teacher's knowledge and expertise, refusing adjustments if they are not wanted, arriving in a timely manner and keeping disruption to a minimum, speaking to teachers how they wish to be spoken to themselves.

Teachers will always treat students in a professional, respectful manner with courtesy - starting and finishing classes on time, respecting student wishes regarding adjustments, facilitating class and safe space, ensuring class rules are followed and dealing with students in a professional, polite and friendly manner.


COMPLAINTS PROCEDURE


We take complaints seriously at Yoga at The Grange. We pride ourselves on providing a safe, secure environment for all students and teacher clients to thrive in and aim to put you at the heart of everything we work on together.
